Step 1: Event Details
Planning an event in Resiada? Getting your event details just right is crucial. Whether you're making initial settings or tweaking existing ones, here's a straightforward guide to ensure your event details are spot-on.
Accessing the Edit Event Section
From the Organization Dashboard: Click on ‘Create New Event’ at the top right corner of the List of Events section.
From the Global Navigation bar: Click on ‘Events’ at the top right corner. From the dropdown, click on ‘New Event’.
Event Setup
Here’s where you shape the identity of your event:
- Event Name: Modify it as needed to keep it relevant and engaging.
- Start and End Dates: These are crucial. Set or adjust them to define the duration of your event. They will be highlighted on the calendar, guiding guests as they choose their stay dates.
- Description: Every detail counts. Provide a comprehensive description or update the existing one to inform and excite your attendees.
- Region Settings: Don’t overlook these. Adjust settings like the unit of measurement and time zone based on your event’s location. This helps in aligning with your attendees’ local preferences.
Locking Settings
Set the currency in which the event will be conducted. This currency will be used for displaying room rates, as well as for processing fees and deposits. If you're managing multiple 'child' accounts, select the client to which the event will be associated. Please note that both the currency and client settings are locked once the event is created and cannot be changed.
Venues
Your venue is more than just a location; it's a central part of the event experience. While the primary venue is where the event will take place, enhancing the venue details can greatly benefit your guests. Consider adding additional points of interest to the venue's map to provide a more comprehensive view of the surrounding area.
Key Points to Consider:
Main Venue: This is the primary location where the event is held.
Additional Points of Interest:
- Local Attractions: Add nearby attractions to give guests options for exploring the area. This helps them see how far these attractions are from the main venue, hotel(s) and can enhance their overall experience.
- Off-Site Social Events: If there are any planned social events or gatherings separate from the main venue, include these locations as well. This provides guests with a clear picture of all the activities available to them during their stay.
By updating your venue details with these additional points of interest, you offer guests valuable information that can enrich their visit and make their experience more enjoyable.
- Go to the 'Manage Venues' section.
- For each venue, use the 'Edit' option to access the 'Edit Venue' page.
- Update the venue details meticulously. Make use of the autocomplete feature in the venue name field for quick and accurate address populating and map placement.
- Once you're satisfied with the changes, hit the 'Update' button at the bottom right corner of the page to save.
Event Closed
Once your event reaches its closure, you can set up a notification message to appear on the booking site when your event reaches its closure. This will happen either at the cut-off date (if you have only one hotel) or when the last hotel's cut-off date is reached (if you have multiple hotels). The message will provide attendees with instructions for after the cut-off.
To activate this feature, you need to set or adjust the cut-off date for each hotel via the "Hotels" section under the "Manage/Event" tab. Once the final cut-off date is reached, the system will automatically close the event and display the closure message.
