Bulk Reservations: Importing a Reservation List

To import a rooming list for reservation setup in Resiada, follow these recommended steps:

  1. Start the Upload: Navigate to the 'Unload Your File' section and click ‘Upload’.
  2. File Selection: Either click or drag the file into the designated box to upload it. Important: The reservation list must include the following required fields: Reservation Contract's First and Last Name, Organization, Email, Phone and Language (enter English as default, unless you are utilizing multiple languages, then enter the language the reservation details will be communicated in), Check In and Out Dates, Sub Block, Hotel and Room Type and Guests (Occupancy Number). Please note that the Sub Block, Hotel and Room Type titles must match exactly like how they are set up in the sysem.
  3. Field Matching: The system automatically tries to match each field from the uploaded file. The first three rooms are displayed as examples to verify that the fields are correctly matched.
    • Choose the appropriate data format for your check-in and checkout dates based on the file you've uploaded.
    • Ensure a Registration ID or number is correctly mapped to the ‘External Reference’ field in Resiada.
    • After confirming all the field mappings, click 'Next'.
  4. Field Options: Set your preferences for how the data should be imported.
    • Room Grouping Options: Choose how you want to group your rooms—by email address, by contact name, or opt not to group rooms. Consider whether you need certain groups of rooms to be managed under a single group contact, as grouping can simplify the application of payment methods across multiple reservations.
    • Handling Duplicates: Decide whether to keep all entries or to discard duplicates. It's generally advisable to keep all entries, as duplicate names might be placeholders.
    • Handling Invalid Data: Choose between discarding only the data points that are invalid or discarding any room entry that contains invalid data. We recommend discarding only the specific invalid data to preserve as much of your rooming list as possible.
  5. Create Reservations: Map out any missing fields. All rooms should have status of “Ready to Reserve”
  6. Click on Continue to Payment button at the top right hand corner
  7. Depending on the payment selected on the previous step, enter the payment type under the ‘Select Payment’ column either, by adding a credit card or assigning the bill to master account to cover the reservation. After entering a credit card, you have the option to select that the card can be selected for use on other rooms.
  8. Click on Complete and once reservation are created, the status will read “Complete Reservation” and a reservation ID will be issued by Resiada.

By carefully configuring each setting, you can ensure a smooth and accurate import of your rooming list into Resiada, setting the stage for an organized reservation process.
