Assigning Hotel Confirmation Numbers

Assigning guest confirmation numbers doesn't have to be a headache. With a few straightforward steps, you can ensure a smooth and efficient process for both you and your guests. Let's walk through how to do this effectively.

Step 1: Understand the Confirmation Number Assignment

First things first, know that when you assign a confirmation number to the primary guest, it automatically assigns the same number to any guests sharing that room. It’s a neat feature that keeps things organized and less confusing. Remember, this can be done by either the hotel contact or the event planner, as long as you have the hotel confirmation numbers and corresponding Resiada Reservation IDs.

Step 2: Choose Your Method - Bulk or Manual

You've got two options here: Bulk upload or manual entry. Let's explore both:

  1. Bulk Confirmation Number Uploader:
    • Prepare Your Excel File: You need a simple Excel file with two columns: the Reservation ID and your hotel confirmation number. We recommend downloading the .xlsx template file found on the assignment page.
    • Upload: Click the "Upload .xlsx File" button on the platform to upload your rooming list with the confirmation numbers added.
  2. Manual Update:
    • Find Your Reservation: Use the column filters to locate the reservation you want to update.
    • Enter Confirmation Numbers: Manually input the hotel confirmation number in the ‘Confirmation #’ column or click ‘Edit’ if it’s an existing reservation.

Step 3: Notification Settings

After entering the confirmation numbers, decide if you want to send email notifications to guests. You have options to send notifications for new or modified reservations, or for all reservations. The email is sent to the primary guest for each reservation.

Step 4: Save Your Updates

Once you’re done, click ‘Save and Exit’. Remember, guest hotel confirmation emails will be dispatched as soon as your updates are saved. So, ensure everything is correct before hitting that save button!
