Step 7B: Sub Blocks: How to Set Up a Sub Block
Planning an event and need to organize accommodations? Setting up a Sub Block in Resiada is a crucial step to ensure everything runs smoothly. Here’s a simple guide to help you through it:
Step 1: Access the Sub Block Manager
- From the Navigation Bar: In the back office, click on ‘Manage’, located on the right side of the event navigation menu. Click on ‘Sub Blocks’ in the dropdown menu.
- From the Event Setup: In the back office, click the ‘Sub Blocks’ tab.
Step 2: General Block Setup
On the new sub block page, there are a few essential details you need to fill in. This includes the 'Sub Block Name', 'Hotel Room Count Display', and 'Hotel Price Display'. These fields are mandatory and form the basic information about your sub block.
Next, determine if you need to allocate dedicated inventory for this sub-block by toggling this option on. If activated, you'll need to choose the Inventory Source from which the inventory will be allocated. Finally, you can choose to mark the dedicated inventory as "held," which will be labeled as "guaranteed nights held" for reporting purposes.
Step 3: Setting Up Payment Methods
In the Payment Methods block, pick the methods you want to use for the sub block. Your options might include credit cards, billing to a master account, checks, wire transfers, etc. Remember, you can choose multiple methods, but there’s a limit of one 'Bill to master' label for each sub block.
Step 4: Assigning Inventory Sources
Now, choose the inventory sources for your sub block. This involves picking from the available inventory options that will provide the rooms.
Step 5: Implementing Restrictions
Set up any necessary restrictions for your sub block. This could include who can see it (public vs. private) and limits on the number of reservations or room nights.
Step 6: Adding Specific Fees
If your sub block has additional fees (like special service charges or amenities), make sure to add them and detail them clearly. The reservation fee can be set up either at the hotel level or the sub-block level. If the fee applies to all guests, it should be set up on the Hotels step for all hotels. If only certain guests (e.g., specific groups) will be charged, the fee should be configured on the Sub Blocks step for the relevant sub-blocks.
Additionally, you can choose whether to charge the reservation fee at the time of booking. If you opt to charge at the time of booking, please ensure your merchant account is set up to process these charges. This approach is often used to generate additional revenue for the event, and in such cases, the fee is typically labeled as a "processing fee" or "reservation fee."
Step 7: Establishing Custom Policies
Finally, create any specific policies that apply to your sub block. These might include special cancellation policies, check-in/check-out times, or rules about using facilities.
