Sending and Viewing Emails

Email communication is a pivotal part of managing reservations in Resiada. Whether you're acknowledging a group reservation or reminding about a pending payment, we’ve got you covered. Here’s your straightforward guide on how to send and view emails for both individual and bulk reservations.

Sending Emails for Individual Reservations

  1. Access the Sent Emails Tab: Head to the reservation’s details page and find the ‘Sent Emails’ tab. (see Searching in the Backoffice to find the reservation)
  2. Choose an Email Type: Pick from a range of system emails, like:
    • Group Reservation Acknowledgment: Sent to the group reservation contact, summarizing all reservation details.
    • Guest Reservation Acknowledgment: Aimed at each primary guest, detailing their specific booking.
    • Reservation Canceled: Informs about any canceled reservations.
    • Reservation Payment Outstanding: A nudge for adding a credit card to secure pending reservations.
    • Missing Information Reminder: Reminds to complete any missing guest information.
  3. Send the Email: Once you’ve selected the right email, send it off to the relevant parties.

Handling Bulk Email Communications

  1. Use the Reservation Search Page: Here, you can manage multiple reservations simultaneously.
  2. Select Reservations: Choose the reservations you need to email. You can pick individual ones or select all listed.
  3. Email Options: After selection, the option to send bulk emails becomes available.
  4. Campaign Selection: Choose your email campaign and let the system handle the distribution.

Viewing Email History

  • Email History Log: To keep track of all sent communications, check the email history log. It shows all emails sent to reservation group contacts or primary guests.

Key Points to Remember

  • Status-Independent Emails: Emails will be sent regardless of reservation status. Be mindful to avoid confusion.
  • Select Correctly for Bulk Emails: Double-check your selections when sending bulk emails to prevent miscommunications.
