Back Office Reservations
Handling back-office reservations in Resiada effectively is key for seamless event management. Let's break down the steps to make this process smoother for you.
Step 1: Getting Started with Reservation Groups
- Where to Go: Head to 'All Reservations' in the global menu or select 'Event Reservations' from the event menu.
- Setting Up the Reservation Group: Click ‘New Reservation’, pick the right event, fill in the reservation manager's details, and you’ve got your group ready. Remember, each reservation necessitates a designated group reservation manager as the point of contact. Additionally, this individual can also serve as the guest for any room reservations to be added in the subsequent steps.
Step 2: Adding New Reservations
- How to Add: In your group, click on ‘Add New Reservation’.
- Note, this adds an additonal room to the group. To create a new stand alone reservation record, click on Event Reservations and then New Reservation button.
- Entering Details: Fill in dates, guest numbers, room types, and any discount codes if you have them. Make sure to select the sub block you want to search within.
- Room Selection and Payment: Choose your room, check its availability, and complete the booking with a payment.
Step 3: Modifying Reservations
- How to Search: In the search field at the top left corner of the global menu, search for the reservation you wish to modify.
- Selecting a Reservation: On your group page, choose the reservation you want to change under ‘Reservations’.
- Making Changes: To add a rooming list note, change or update details under the Guest Details section, you can make the adjustments and hit ‘Save Changes’. To change the stay date or a room choice, you MUST click ‘Edit’ and start a new search for the desired change.
- Payment Method Switch: Need to change how you’re paying? Use ‘Change Payment Method’ for that.
Step 4: Overseeing Payments
- Transaction Overview: In your group reservation record, hit the ‘Payment Details’ tab to see all money movements, handle pending payments and update credit card on file for any or all rooms with the group.
Step 5: Email Communication
- Emails Made Easy: In the ‘Sent Emails’ tab, pick the type of email you need to send to your guests or contacts.
Step 6: Notes for Extra Clarity
- Adding Notes: Drop into the ‘Notes’ tab in any reservation to jot down important info or guest requests.
