Adding a Reservation Note

Adding notes to a reservation in the Resiada back office is a breeze and incredibly useful for keeping track of important details and ensuring seamless communication within your team. Whether it's a guest preference or a special request, here's how you can add those crucial annotations.

Steps to Add a Note

  1. Accessing the Notes Section: Navigate to the reservation in question and click on the ‘Notes’ tab.
  2. Entering a Note: In the notes section, you can type in the specific note you wish to add to the reservation.
  3. Categorizing the Note: Select an appropriate category for the note from the dropdown menu. This categorization helps in organizing and retrieving notes efficiently.
  4. Committing the Note: Once the note is written and categorized, click ‘Add a New Note’. This action will permanently attach the note to the reservation.

Why is Adding Notes Useful?

  • Record Keeping: Notes provide a written record of specific details, requests, or issues related to a reservation.
  • Communication Tool: They serve as a communication tool among staff members, ensuring everyone is aware of any special considerations for a reservation.
  • Enhancing Guest Experience: Notes can include guest preferences or special requests, which can be used to enhance the guest experience.

Key Considerations

  • Editing Restrictions: Notes can only be edited by the original creator and that too only for 15 minutes after creation. This limitation emphasizes the importance of accuracy and clarity when initially adding a note.
  • Visibility and Access: Notes are accessible to all back office users with access to the reservation, ensuring transparency and team awareness.
  • Categorization: Proper categorization of notes is crucial for easy retrieval and understanding. Always choose the most relevant category from the dropdown selector.
