Make a Payment
Processing a payment in the Resiada back office is a key step in securing a reservation. Whether it's for a new booking or settling a pending payment, here's a clear guide to help you navigate through this essential process.
Accessing Payment Options:
- For both new and pending reservations, access the payment section in the back office by going to a specific reservation. (see Reservation Search)
- For a new reservation, after you click ‘Reserve’, you'll be prompted to make a payment.
- For existing reservations with pending payments, go to the ‘Payment Details’ tab. Here, you'll find the ‘Complete Pending Booking’ button.
Utilizing Payment Options:
- A variety of payment options are available, including credit card, check, wire transfer, bill to master, and cash.
- Credit Card: Fill in details like card number, expiry date, CVV, and billing address.
- Check: Enter details like check amount, status, and check-related information. A credit card may also be required as a backup payment method.
- Wire Transfer: Provide transfer details such as amount, status, reference number, and bank information. A credit card might be needed as well.
- Bill to Master: This method charges the cost to the event organizer. You need to select the appropriate master bill account, and a credit card might be required.
- Cash: This method is used as a catch-all payment type if the reservation is complete. Fill in the amount and any internal notes.
Note: All payment methods are displayed in the back office, regardless of their availability on the booking site for a specific sub-block.
Applying Unallocated Funds:
- If available, unallocated funds can be used towards pending reservations.
- This option is displayed below the payment choices and allows for the allocation of unused funds across different reservations.
- Note: The ‘Bill to Master’ and ‘Hold Until Hotel Closing Date’ options do not support the use of unallocated funds.
Hold Until Hotel Closing Date:
- This option places a pending reservation on hold until the hotel's defined cut-off date.
- Automatic Cancellation: If no credit card information is provided by the cut-off date, the reservation will be automatically cancelled. This feature ensures that reservations are not indefinitely held without confirmation.
- Optional Email Notification: Users have the option to send an email to the contact person associated with the reservation. This is facilitated by selecting the 'Send Email to Contact’ checkbox.
This option is particularly useful for managing reservations that are tentative or where payment details are yet to be finalized, offering a buffer period until the hotel's closing date.
Overriding Payment Methods:
- Regardless of the payment methods enabled for a specific sub-block, the admin can override this and choose any available payment method, including the 'Bill to Master' option, which displays all bill-to-master accounts for selection.
- This ensures that payment can be completed using the most suitable method available at the time.
Finalizing the Payment:
- After selecting the appropriate payment method and applying any unallocated funds, complete the transaction by confirming the payment details.
- Ensure that all necessary information is entered correctly for the chosen payment method.
